- Business Information: Business name, contact details, service offerings, scheduling data, and other information Clients provide to configure the Service, including data synced from field service management tools such as Jobber.
- Call and Communication Data: Phone numbers, call audio, call recordings, voicemails, call transcripts, and text/SMS message content processed through the Service.
- Chatbot Interaction Data: Messages and questions submitted by website visitors to the AI chatbot feature.
- Website and Contact Form Data: Information submitted through contact forms on lumida.us, including name, email, and message content.
- Technical Data: Basic website usage and analytics data collected automatically when visiting lumida.us.
3. How We Use Information
We use the information described above to:
- Operate, provide, and maintain the AI receptionist and automation Service for Clients
- Route, transcribe, and respond to calls and messages on behalf of Clients
- Schedule appointments, send follow-ups/reminders, and integrate with Client business tools (e.g., Jobber)
- Respond to inquiries submitted through our website's contact form or chatbot
- Improve and troubleshoot the Service
- Comply with legal obligations
We do not sell personal information collected through the Service.
4. How Information Is Shared
Because the Service is built on integrations with third-party providers, information may be processed by or shared with the following categories of Third-Party Providers as necessary to deliver the Service:
- Telephony providers (e.g., Twilio) — to place, receive, and route calls and texts
- Voice AI platforms (e.g., Synthflow, Retell AI, Vapi, or similar) — to power AI-driven voice interactions
- AI model providers (e.g., Google's Gemini API) — to power the website chatbot and related AI features
- Field service management software (e.g., Jobber) — to sync scheduling and customer data for Clients who use it
- Form-handling services (e.g., Formspree) — to process website contact form submissions
- Hosting and infrastructure providers (e.g., Cloudflare, cloud hosting services) — to operate our website and systems
These providers process information under their own terms and privacy policies and only to the extent necessary to deliver their respective part of the Service. We do not otherwise share personal information with third parties except as required by law or with consent.
5. Call Recording Notice
The Service may record and/or transcribe calls handled on behalf of our Clients for the purpose of providing the automation and receptionist service. Call recording and consent laws vary by U.S. state — some states require the consent of only one party to a call, while others require the consent of all parties. Clients are responsible for ensuring their use of the Service, including any recorded-line disclosures to their own customers, complies with the call-recording laws of the states in which they operate. Where feasible, the Service may include an automated notice that calls may be recorded or processed by AI.
6. Data Retention
We retain call recordings, transcripts, chatbot logs, and related data for as long as reasonably necessary to provide the Service to the Client, or as otherwise specified in the Client's Service Agreement. Data may be retained longer where required for legal, accounting, or dispute-resolution purposes.
7. Data Security
We use reasonable administrative, technical, and organizational measures designed to protect information processed through the Service. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security, including in the event of outages or breaches affecting Third-Party Providers outside our control.
8. Your Rights
Depending on your location, you may have rights to access, correct, or request deletion of your personal information. Requests can be submitted to support@lumida.us. We will respond in accordance with applicable law, including any applicable U.S. state privacy laws.
